03. WORKSPACE SETUP

 

We’ll focus on the overall design of your team’s workspace.
Establish folder structure and having introduced the first data.

 

  • 03.01# DECIDE & DEFINE THE CENTRALIZED FILE HOSTING
    > choose the correct and applicable one out of next possible platforms : Box, Dropbox, GoogleDrive, OneDrive
    > all attached documentation in the project management SaaS will be stored here.
    > check its compatibility, current root-structure and rules and optimise it where necessary.
  • 03.02# ESTABLISH SOLID AND CLEAR FOLDER STRUCTURES (AGILE FRAMEWORK)
    > based on our experiences AND input of the chosen members from the operational and productional team.
    > define which users have access to which folders and at what level.
    > define separate workspaces per team where needed and applicable (eg. marketing, HR, …)
  • 03.03# STUDY AND DESIGN THE NEEDED CUSTOM WORKFLOWS & ‘SPACES’ PER DEPARTMENT
    > which specific flows do we have? for suppliers, A&R, marketing, HR, production, accounting, …?
    > which departments do we attribute ‘Spaces’? (dedicated and unique work-environments)
    > design and input the flows (naming, colours and where needed dependencies)
    > create users groups in the account management root where necessary.
  • 03.04# INTRODUCE THE FIRST DATA
    > create and configure the profiles for the chosen users (regular, external, collaborator)
    > input current and upcoming projects with their correct dates
    > introduce ongoing and planned tasks with their correct descriptions, assignee’s, and their cloud stored attachments.
